About this role
Role Overview
Calendar & priorities: protect the CEO’s time, design the “Perfect Week”, send flawless invitations, build buffers, prepare meeting briefs and minutes, and handle day‑of preparation.
Operations & projects: track OKRs, synchronize teams (light involvement as an OPS hire is in progress), provide weekly progress updates, and resolve blockages.
Executive communication: triage and respond to emails/inbox, draft messages on behalf of the CEO when appropriate, and coordinate key communications.
Meetings & events: prepare agendas, action notes, post‑meeting follow‑up, and organize founders’ dinners.
Travel & logistics: manage end‑to‑end travel files (flights, hotels, transfers), update calendars, and prepare contingency plans for disruptions. (can be delegated)
Personal brand: coordinate content (podcasts, interviews, videos), manage podcast relationships, and collect raw footage.
Purchases & administration: handle ad‑hoc purchases, coordinate with the house manager, manage receipts, labeling and archiving. (can be delegated)
Reporting: weekly admin report, suspense list, risk/alert tracking, and proposals to improve processes. -> important
Requirements
3–7 years in executive assistant, operations or project management roles supporting executives or founders.
Bilingual French/English with impeccable written skills and fast summarization capability.
Proficient in ClickUp or Asana/Notion, Google Workspace, and managing complex multi‑timezone calendars.
Strong attention to detail, reliability, absolute confidentiality, and business‑first prioritization instincts.
Based in CET±2 or Dubai time zone; available for peak periods and occasional travel.
Nice to have: e‑commerce/DTC experience, influencer/creator operations, podcast management, and basic finance familiarity (receipts, wire transfers, POs).
