Collaborate with various teams to ensure coordination of daily activities and follow-up on ongoing projects
Prepare, review and format a variety of administrative documents, reports, presentations and meeting minutes
Plan and organize meeting logistics, including preparation and distribution of materials
Coordinate necessary bookings (rooms, accommodation, transportation) related to meetings and events
Contribute to establishing and improving communication between different departments
Track projects and deadlines while maintaining an overall view of ongoing initiatives
Manage incoming communications (phone calls, emails), calendar and appointment scheduling
Follow up on documents requiring approval (contracts, expense reports, etc.)
Translate, review and adapt communications and documents in French and English
Perform other related duties as required

College diploma in secretarial studies or equivalent
Minimum of ten (10) years' experience as an executive assistant or in a similar role
Excellent oral and written communication skills in French and English
Strong organizational skills and ability to manage priorities
Autonomy, resourcefulness and proactivity in finding solutions
High proficiency with computer tools (Microsoft Office and other relevant software)
Ability to manage multiple tasks simultaneously with rigor and efficiency
Customer service orientation and strong attention to detail
