About this role
Role Overview
Process vendor invoices, expense reports, and reimbursements
Verify correctness of invoices (coding, budget line, approvals)
Enter invoices into accounting system and schedule payments
Reconcile vendor statements
Assist in preparing check payments, ACH transfers, and wire disbursements
Maintain vendor files and records
Generate client invoices, program service bills, or grant billing requests
Record and post receipts (checks, electronic payments, credit card)
Reconcile accounts receivable ledger to subsidiary records
Follow up on past-due invoices
Assist with monthly journal entries and accruals
Reconcile bank statements, petty cash, and other balance sheet accounts
Ensure intercompany or intra-departmental recharges or allocations are recorded properly
Monitor and assist with monthly, quarterly, and annual close
Record restricted and unrestricted funds separately
Monitor compliance with grant terms, budgets, and fund restrictions
Prepare schedules for grant reporting (expenditures vs budget)
Assist in preparing grant drawdowns and reimbursement requests
Prepare supporting schedules and reconciliations for audits
Provide backup documentation for transactions
Assist with internal and external audit requests
Maintain organized filing and documentation practices
Assist in preparing financial reports (budget-to-actual, cash flow, etc.)
Assist with payroll support or postings (if small org)
Support special projects as needed (e.g. system conversions, process improvements)
Maintain fixed asset register (if applicable)
Contribute to development of accounting procedures, controls, and documentation
Requirements
High school diploma or equivalent
At least 1–2 years of accounting or bookkeeping experience (ideally in a nonprofit, grant-driven, or multi-funded environment)
Proficiency in Microsoft Excel (formulas, pivot tables, etc.)
Strong attention to detail, accuracy, and organizational skills
Ability to meet deadlines, multitask, and work under supervision
A combination of experience, education, and training may substitute for degree requirements on a year for year basis.
