About this role
Role Overview
Serve as the first point of contact for incoming patient inquiries
Manage phone, email and text communication with clarity and empathy
Assist patients with questions about scheduling, documentation, treatment plans or general requests
Direct patients to the correct clinician or department as needed
Schedule, reschedule and coordinate patient appointments, evaluations and follow-ups
Maintain organized clinician calendars and manage time blocks, cancellations and conflicts
Communicate appointment reminders and updates to patients
Update patient records and ensure information is accurately documented
Collect, review and organize intake forms, referrals and authorizations
Assist with maintaining EMR data hygiene and workflow consistency
Support patients by reviewing or gathering insurance information, coverage details and visit limitations
Track authorizations, documentation requirements and outstanding requests
Provide administrative support tied to billing, verifications or clinical workflows
Maintain organized systems for communication logs, paperwork tracking and outstanding tasks
Flag issues that impact patient flow, scheduling or compliance
Contribute to improving SOPs, communication processes and administrative efficiency
Requirements
Experience in medical administration, virtual assistance or patient support
Strong communication skills with a warm, clear and empathetic approach
Highly organized, detail-oriented and able to manage multiple tasks at once
Tech-savvy and comfortable learning EMR and scheduling systems
Calm under pressure and able to support patients who may be stressed or overwhelmed
High follow-through and reliability
Ability to work independently and maintain confidentiality at all times
Nice to Have: Experience with EMR software such as Athena, Kareo, RainTree, SimplePractice or similar
Background in healthcare, therapy practices or clinical operations
Familiarity with insurance verifications, authorizations or benefits explanation
Previous remote patient support experience
