Role Overview
Manage the CEO's complex and dynamic calendar, including scheduling meetings, appointments, and conference calls
Arrange and coordinate domestic and international travel itineraries, accommodations, and logistics for the CEO
Act as the primary point of contact for the CEO, screening and prioritizing emails, phone calls, and other correspondence
Prepare and edit correspondence, communications, presentations, and other documents on behalf of the CEO
Assist in preparing agendas, materials, and presentations for meetings attended or led by the CEO
Conduct research and compile information as needed for various projects and initiatives
Handle confidential information with discretion and maintain strict confidentiality at all times
Anticipate the CEO's needs and proactively provide administrative support to enhance efficiency
Partner with IT to ensure all technology and software used by the CEO is up to date and working appropriately
Coordinate special projects and events as assigned by the CEO, ensuring deadlines and deliverables are met
Requirements
Minimum of 5 years of experience as an Executive Assistant supporting C-level executives, preferably in a technology or fast-paced start-up environments
Proven ability to manage complex calendars, coordinate extensive travel arrangements, and handle multiple priorities effectively
High level of integrity, professionalism, trustworthiness, and discretion in dealing with confidential information
Exceptional organizational skills and strong attention to detail
Excellent verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Ability to work independently with minimal supervision, as well as collaboratively in a team environment
Strong problem-solving skills and the ability to anticipate needs and proactively address issues
Bachelor's degree or equivalent experience preferred.
