Act as the liaison between the departments composing the Deputy General Directorate (Direction générale adjointe, DGA) and the directors, notably to follow up on the organisation’s strategic files.
Prepare dashboards related to the activity of the Deputy General Directorate in close coordination with the DGA, and be able to analyse initial indicators as part of an evaluative approach.
Monitor strategic dossiers and produce concise summaries.
Manage the DGD’s calendar and organise meetings.
Work with the DGD to establish an optimal filing system and help implement shared tools to improve workflow fluidity and save validation time.
Coordinate DGA management meetings related to operational activity (propose an agenda, prepare meeting minutes and monitor actions using a dashboard) in collaboration with the DGD’s project officer.
Provide support to ensure the quality of outgoing correspondence and internal notes, and prepare presentations on request (PPT presentations based on provided content).
Requirements
Knowledge of the activities, operations and processes of local authorities and the specific intervention framework of the Métropole.
Proficiency in executive assistant techniques and IT tools (Microsoft Office suite).
Experience with dashboards, planning and monitoring tools.
Calendar management, appointment scheduling and prioritisation skills.
Respect for work instructions, duty of confidentiality and discretion.
Ability to work in a team and coordinate the work of administrative assistants on shared tasks relating to the Métropole.
Excellent written skills (impeccable spelling), grammar and ability to synthesize information.
