About this role
Role Overview
Assist the General Manager in daily tasks (preparing documents, managing calendars, organizing meetings, etc.)
Prepare and structure performance reports and dashboards for senior management.
Follow up on tasks assigned to various departments (customer service, claims, business development, etc.).
Maintain continuous communication between teams to ensure smooth progress of internal projects.
Structure, organize, and optimize the company’s administrative functions.
Develop, document, and implement clear, efficient, and sustainable administrative processes.
Implement management and tracking tools suited to the needs of a growing SME.
Draft and format various professional documents (procedures, internal communications, minutes, etc.).
Organize archives and ensure document compliance.
Ensure the smooth running of daily administrative operations.
Collaborate with HR to structure and apply the onboarding process for new employees.
Support the updating of personnel files and internal policies.
Organize and maintain internal databases (Excel, CRM, in-house systems).
Contribute to the improvement of digital tools and working methods.
Requirements
Degree or diploma in administration, office management, business management, or a related field;
Experience in a coordination role or as an executive assistant, preferably in an SME;
Strong ability to structure an administrative department and formalize processes;
Proficiency in the Microsoft Office suite, particularly Excel;
Highly organized, rigorous, autonomous, and detail-oriented;
Fluent in spoken and written French; English is an asset.
