Anticipate needs and strategically manage competing priorities to protect executive focus and enhance productivity
Prepare, coordinate, and review briefing documents, presentations, and meeting materials
Act as a trusted liaison between the executive and internal/external stakeholders, ensuring clear communication and follow‑through
Drive preparation and logistics for leadership meetings, off‑sites, and strategic planning sessions
Manage sensitive information with utmost confidentiality and professionalism
Streamline and optimise administrative processes to enhance efficiency across the executive office
Support budget tracking, procurement, and expense management
Lead special projects and operational initiatives on behalf of the executive; coordinate cross‑functional efforts where required
Support executive’s rhythm of business, ensuring deadlines, key deliverables, and governance processes are consistently met
Provide day‑to‑day management, coaching, and professional development for a small team of administrative professionals
Set clear expectations, establish best practices, and model high standards of performance
Oversee workload allocation across the team to ensure balanced capacity and optimal service delivery
Conduct performance conversations and partner with People teams on talent development and career growth
Build trusted relationships with internal leaders at all levels, cross-functional partners, and external stakeholders to support executive priorities
Serve as a knowledgeable point of contact for information flow into and out of the executive office
Requirements
Extensive experience as an Executive Assistant or Senior Administrator supporting C‑suite or senior executives
Demonstrated ability to triage and sequence competing demands across multiple stakeholders and time zones
Strong relationship building, capable of persuading and aligning senior stakeholders without formal authority
Effective written and verbal communication, adept at crafting briefs, decks, and executive narratives
Navigates ambiguity, anticipates issues and makes impactful decisions, managing priorities without direct supervision
Experience managing or coaching administrative professionals, sets expectations, gives feedback and develops capability
Advanced proficiency with Microsoft 365 (Outlook, Teams, PowerPoint, Excel, SharePoint)
Solid organisation, coordination, and project execution skills
