Lead the tactical execution of assigned show production elements for all in-person events.
Collaborate closely with the Show Director to develop and manage key parts of the event timeline, production schedule, costing, and overall logistics.
Develop and oversee the event mobile app platform for applicable events.
In collaboration with the Show Director, create detailed production schedules and 'runs of the show' for rehearsals and day-of-event execution.
Collect and review all show scripts, verifying them against the production run of the show.
Coordinate and execute event logistics, including scheduling appropriate parties for staging and technical rehearsals and coordinating green room requirements and stage furniture rentals.
Source internal resources or external suppliers for assigned production elements, developing accurate costings, and ensuring execution remains on budget and delivered on time.
Handle and oversee the resolution of any issues that arise during the planning and execution phases.
Coordinate and execute all sponsor activations, including gathering requirements, scheduling, and providing on-site support to ensure successful setup and implementation.
Manage comprehensive sponsor communication, deliverables, and execution to ensure all sponsor objectives are met through effective coordination and timely updates.
Provide sponsors with necessary training on technical platforms as needed and ensure they have the tools and support for seamless participation.
Create and distribute all sponsor-related documentation, including the Sponsor Show Kits, FAQs, support materials, and other essential communications.
Work collaboratively with internal stakeholders to understand and meet their objectives for show experiences.
Engage with external stakeholders and vendors to understand and develop mutually beneficial event best practices documentation and timelines.
Engage directly with all event speakers (post-introduction by the content director) to coordinate event-related elements such as recordings, rehearsals, and arrival times.
Develop and manage comprehensive speaker communications, including Speaker Show Kits, FAQs, and event details to ensure a smooth experience.
Collect and distribute all necessary speaker-related materials, including presentation slides, bios, headshots, and waivers.
In partnership with the Show Director, collect all AV and technical requirements from presenters.
Requirements
3+ years of in-person event experience is required, including experience with trade shows and conferences.
1+ years of virtual event experience is required.
Experience with complex virtual event platforms is preferred (beyond common platforms like Zoom, Go-To Meeting, WebEx, or Cvent).
A Bachelor's degree is required.
A highly collaborative problem solver demonstrating positivity and a “can do” attitude.
Experience with Conference, Awards, and/or events within the CPG, Retail, Drug/Pharmaceutical, Convenience, Restaurant, Hotel, or Grocery industries is a significant plus.
