About this role
Role Overview
Manage and coordinate real estate transactions from listing through closing
Track timelines, contingencies, and ensure all deal milestones are met on time
Draft, review, and manage contracts including listing agreements, offers, counteroffers, addenda, and closing documents
Facilitate document execution through platforms such as DocuSign
Coordinate escrow-related activities including inspections, appraisals, disclosures, and closing logistics
Maintain due diligence folders, audits, and seller requirement checklists
Maintain accurate and up-to-date deal files, trackers, and pipeline logs
Monitor offers, counteroffers, and transaction progress using tools like Trello or similar platforms
Manage property listings across platforms such as LoopNet, Crexi, MLS, LinkedIn, and company websites
Update property status, pricing, and listing details as required
Act as a liaison between clients, agents, and internal teams, ensuring clear and timely communication
Respond to inquiries and manage follow-ups in a structured and professional manner
Organize transaction files, closing documents, and internal submissions
Handle urgent or quick-turn requests with effective prioritization
Requirements
A 4-Year Bachelor’s degree is preferable, ideally in Business Studies, Real Estate, Finance, or a related field
6 years of experience in a Transaction Coordinator, Administrative, or Operations role within commercial or multifamily real estate
Strong understanding of real estate deal flow, escrow processes, and due diligence requirements
High attention to detail with the ability to manage multiple transactions simultaneously
Strong written and verbal communication skills with a professional tone
Familiarity with tools like DocuSign, Trello, CRM systems, and listing platforms is preferred
Ability to work independently with a proactive, ownership-driven mindset
