About this role
Role Overview
Provide administrative support specifically for the Executive Director, English Services Finance
Work in an ever-changing, fast-paced and demanding environment
Complex calendar and agenda management of Executive Director and Senior Directors
Time management and preparation of necessary background materials prior to appointments and meetings
Travel arrangements and coordination of travel expense reports and tracking for Finance Senior Leadership
File management and organization
Coordination of new hire administration / transactions and execution of orientation for the English Services Finance team
Complete expense claims creation/validation for the English Services Senior Finance team
Anticipate and solve problems and handle critical tasks for the office of the Executive Director, as required
Ensure information and inquiries are directed and processed quickly and efficiently
Support the English Services Finance team with team meeting planning, coordination, and execution
Manage all inventories for office supplies, equipment and related materials
Managing boardroom reservations and videoconference bookings
Requirements
University education or equivalent
3+ years in administrative experience at the Executive level
Superior knowledge of and experience with computer applications; specifically, G Suite, Word, Excel, and PowerPoint
Knowledge of SAP/TEMS and LiveLink is an asset
General knowledge of CBC/Radio-Canada
Able to communicate clearly and effectively
Highly developed administrative and organizational skills
Be proactive, have sound judgment and initiative
Strong ability to handle multiple priorities, work under pressure and meet tight deadlines
Accuracy and attention to detail are essential
Manage confidential files and correspondence
Requires the ability to comprehend and act on complex and sensitive matters
Must be able to act independently
Ability to work flexible hours and overtime (if required)
Being bilingual is an asset
