Role Overview
Finance & Operational Support
- Monitoring and following up on timesheet completion for all team members and Partners.
- Managing cash receipts and debtor tracking, updating trackers and circulating information as required.
- Tracking fees issued, ensuring invoices are sent to clients within agreed timelines.
- Preparing and circulating weekly utilisation reports in advance of operational meetings.
- Coordinating outlay management, liaising with Partners and Finance and ensuring compliance with agreed billing arrangements.
- Circulating accruals information provided by Finance.
- Preparing and distributing monthly WIP reports and supporting management review discussions on write-offs and provisions.
- Acting as a central liaison between RAS and Finance to ensure accurate and timely financial information flow.
Client Onboarding
- Coordinating the onboarding of new RAS clients.
- Ensuring client and project codes are set up correctly in line with internal RAS guidance.
- Acting as a point of contact to ensure onboarding steps are completed efficiently and accurately.
People Management & Team Administration
- Coordinating, tracking, and reconciling annual leave, ensuring adequate team coverage.
- Liaising with senior leadership if resourcing constraints arise.
- Tracking the timely completion of performance reviews.
- Monitoring CPD completion and mandatory training compliance.
- Maintaining awareness of team milestones such as birthdays and personal events, supporting a positive team culture.
Executive & Administrative Support
- Managing Partner diaries, schedules, and business travel arrangements.
- Coordinating internal and external meetings, including logistics and preparation.
- Organising and supporting RAS team events.
- Providing high-quality administrative and organisational support to RAS leadership as required.
Requirements
Essential:
- Previous experience in an Executive Assistant, Senior PA, or similar role in a professional services environment.
- Strong organisational and time-management skills with the ability to manage multiple priorities.
- High level of attention to detail and confidentiality.
- Strong communication skills and confidence engaging with senior stakeholders.
- Competent with MS Office (Excel, Outlook, Word).
Desirable:
- Experience supporting finance processes (timesheets, WIP, invoicing).
- Experience working in professional services or advisory environments.
- Familiarity with people administration and compliance tracking.
