About this role
Role Overview
Manage the calendar, priorities and commitments of the Executive Administrator, ensuring alignment with the organization’s needs
Prepare, organize and support meetings, including supporting documentation and follow-up (record key points whenever applicable);
Ensure the management and triage of communications, correspondence and sensitive information;
Organize executive documentation, presentations and supporting materials;
Liaise with different internal departments and external stakeholders to collect information and follow up on matters;
Support the preparation of institutional meetings, events and relevant initiatives, including in-person attendance when required;
Contribute to the continuous improvement of organization and executive support processes.
Requirements
Bachelor’s degree in Management, Law, International Relations, Administration or a related field;
2–5 years of professional experience in executive support or similar roles;
Experience in demanding environments, managing multiple priorities;
Strong organizational and planning skills with excellent attention to detail;
Excellent written and verbal communication skills;
Fluency in Portuguese and English (reading, speaking and writing);
Proficiency with productivity tools (Microsoft Office, SharePoint and digital productivity tools, including AI-based tools).
