The Project Administrator provides administrative, coordination, planning, and project control support throughout the project lifecycle, ensuring effective project delivery and compliance with OPM policies, procedures, and client requirements.
Support project mobilisation and close-out activities in accordance with OPM policies and processes.
Coordinate project governance activities, including gates, reviews, boards, and audits.
Assist with the review, administration, and sign-off of client, supplier, and subcontractor contracts.
Collect, maintain, and analyse project data, producing reports and management information as required.
Monitor and communicate project process compliance issues.
Maintain project documentation, file structures, document control systems, records, and archives.
Coordinate project meetings, events, and associated administrative activities.
Provide logistical support, including travel, accommodation, transport, security-related arrangements, and visa applications where required.
Support the Project Manager in maintaining risk and issue registers.
Track mitigation actions, contingency plans, and the closure of risks and issues.
Assist with the provision of financial information to support project forecasting and reporting.
Coordinate with Accounts Payable to process project purchases and costs in accordance with OPM policies and client requirements.
Facilitate effective communication between project teams, stakeholders, clients, suppliers, and partners.
Support procurement and contract administration activities, including drafting, tracking, and monitoring compliance.
Liaise with stakeholders across the project to resolve operational queries and support project delivery.
Provide guidance and support to suppliers on OPM processes, procedures, and documentation requirements.
Support the management of project scope and schedule baselines.
Assist with the preparation and processing of baseline change requests.
Requirements
Knowledge of, or experience within, the international development sector would be advantageous.
Experience supporting low-complexity and low-risk projects through part or all stages of the project lifecycle.
Demonstrated administrative experience, including the use of project systems, processes, and tools.
Strong numerical, analytical, and administrative skills with a high level of accuracy and attention to detail.
Excellent written communication and reporting skills.
Proficient in Microsoft Office applications; experience with Microsoft Dynamics is desirable.
