Daily operations support. Assist the Community Management team with day-to-day activities, ensuring smooth workflows across the department.
File & records management. Maintain and organize files, records, and filing systems to ensure information is accurate and easily accessible.
Document creation. Create and digitize documents, including contracts for external staff.
Information sharing facilitation. Coordinate and publish departmental infomails.
Correspondence handling. Process e-mails, letters, and other correspondence in both German and English with professionalism and accuracy.
Project ownership. Take responsibility for two major projects per year — including the Community Management Meeting in Hamburg and the annual gift initiative for external staff.
Team & event coordination. Manage appointments and deadlines, and support the organization of team events to keep the team connected and engaged.
Basic video production. Plan, shoot, and perform simple editing for internal occasions such as anniversaries or small events, including creating short clips suitable for internal or external use.
Requirements
Student status. Currently enrolled at a German college or university with at least two semesters remaining.
Local presence. Based in Hamburg or the surrounding area so you can be on-site when needed to support team events and project-related tasks such as the Community Management Meeting.
Availability. Available for 20 hours per week (flexible) and able to adapt during peak months (May/June and November).
Language skills. Fluent in both English and German (minimum B2/C1 level), written and spoken, with excellent communication skills.
Organizational talent. Work in a structured, efficient, and focused way and bring strong organizational and project management skills.
Reliability & diligence. Thoroughness, discretion, and a self-organized working style are among your key strengths.
Tech proficiency. Confident using MS Office tools; experience with Photoshop or InDesign is a plus.
AI basics. Basic experience working with AI tools and a curiosity about how they can support community-related tasks and workflows.
