About this role
Role Overview
Assist with collecting and registering invoices/receipts, both into the commercial & accounting system (Zoho Expenses & Softone)
Ensuring all physical and electronic records are properly filed for the external account’s review throughout the month
Verify items billed against items ordered and received and reconcile differences through regular follow-ups
Process and prepare financial and business forms for the purpose of regular checking of account balances, facilitating purchases, etc.
Ensuring invoices are authorised by the relevant approver
Collect and review all the expense reports of the team
Ensuring all Viva card purchases are accompanied by a VAT receipt/invoice, a meaningful description and coded correctly
Review claims for cash expense reimbursements to make sure these are properly registered and settled in a timely manner
Ownership of our Viva expense cards, including issuing new cards when required
Ensuring purchases are entered into Zoho Expense on a monthly basis and reconciled to the Viva card statement
Communicate all expense reports to the external accountants for review before the month end reporting
Ensuring all bank account transactions are validated and accurately recorded in Softone
Ensuring all bank accounts are reconciled weekly and in time for the month end reporting, with all variances explained
In charge of the IT Asset Inventory and equipment allocation to the team
Assisting with HR paperwork and physical/electronic filing
Creating and maintaining process notes and policies for your areas of responsibility
Constantly improving the efficiency and effectiveness of your areas of responsibility
Requirements
Familiar with bank reconciliations
Excellent command of English language, both verbal and written
Well organised with an ability to meet all agreed upon deadlines
Attention to detail with an ability to apply common sense and logic
A clear, confident and courteous communicator, particularly on the phone
Flexible and willing to take a hands-on approach
Experience with Excel (pivot tables, formulae such as SUMIF/VLOOKUP etc.)
Prior experience in an accounting department will be considered an advantage.
Knowledge of Zoho Expenses – ERP Softone would be an advantage
