Role Overview
- Execute recurring transactional and advisory matters on a steady quarterly cadence, working through defined matter plans and established workflows for corporate, employment, contracts, and operational matters with consistency and precision.
- Prepare and review contracts, agreements, corporate governance documents, and employment handbooks and policies using firm templates and checklists.
- Handle entity formation and maintenance: form entities, file annual reports and registered-agent updates, and keep corporate records and minute books current and audit-ready.
- Prepare and process UCC filings, trademark and operational filings, and other regulatory and corporate filings accurately and on schedule.
- Leverage AI and automation tools to execute repeatable work efficiently and accurately.
- Maintain organized files and file architecture, update matter data daily, and move tasks through work queues and dashboards in Litify (matter management software).
- Track deadlines, approvals, signatures, and budget-to-date figures across multiple active matters; flag issues early and escalate appropriately.
- Serve as a reliable client-communication conduit — deliver routine status updates, keep portals and data rooms accurate, and uphold the firm’s responsiveness standards.
- Contribute to process and product improvement: identify inefficiencies, propose smarter ways to run repeatable work, and help refine templates, checklists, and workflows, including new uses of AI and legal technology.
- Deliver assigned work on time and to firm quality standards within each quarterly cycle, tracking time and effort accurately.
Requirements
- Paralegal certificate, associate’s, or bachelor’s degree, or equivalent relevant experience, preferred
- Paralegal experience in transactional, corporate, or business law, with demonstrated comfort executing routine, repeatable transactional work
- Working knowledge of corporate law fundamentals: entity formation and maintenance, corporate governance, and corporate records management
- Familiarity with commercial contracts and UCC filings
- Strong contract drafting and review skills, with a focus on accuracy and consistency against templates and firm standards
- Exceptional organizational and communication skills, with a high level of professionalism and the ability to manage multiple active matters and deadlines simultaneously
- AI and technology proficiency, comfort and skill with AI and legal-technology tools, and a demonstrated ability to integrate them into daily work to improve speed, accuracy, and cost-efficiency; this is central to how Legal Longevity delivers value
- Proficiency with document automation, e-filing, and matter management systems; Litify/Salesforce experience preferred
- Familiarity with Florida entity and Secretary of State filing systems preferred
- Strong attention to detail and accuracy
- Ability to maintain confidentiality with sensitive information
- Ability to work independently and as part of a small, collaborative team
