Position Summary
The Payroll Implementation Clerk is responsible for providing administrative, clerical, and data-entry support to the Payroll Implementation team. This role supports the front end of the onboarding pipeline by receiving payroll quote requests, preparing and issuing payroll service quotes, generating payroll service agreements, and managing their delivery for client e-signature. This position also assists in gathering and entering basic company and employee data, initiating first contact with new clients, and supporting team members with various administrative and operational tasks. The Clerk will report to the Payroll Implementation Manager.
This role helps ensure a smooth, organized, and efficient start to the client's onboarding experience and contributes to a streamlined workflow within the Payroll Implementation department.

Requirements
Required Experience and Education
- High school diploma or equivalent required; Associate degree preferred
- 2–4 years of administrative, clerical, or data entry experience, preferably in a professional services or payroll environment
- Strong proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience working in a digital/paperless environment is strongly preferred
Major Duties and Responsibilities
Administrative & Quote Management
- Receives and reviews incoming requests for payroll quotes from internal team members and external sources
- Prepares accurate payroll quotes following firm standards, pricing structures, and approved templates
- Tracks the status of open quote requests and ensures timely turnaround
- Coordinates with Payroll Implementation Specialists as needed to ensure correct assumptions, deadlines, or client requirements
Service Agreement Coordination
- Drafts payroll service agreements based on approved templates and established scope guidelines
- Sends agreements to new clients for electronic signature through approved e-signature platforms
- Tracks outstanding agreements, follows up with clients, and ensures completed documents are properly saved and routed
- Maintains agreement logs, version control, and any required documentation for internal compliance
Client & Data Support
- Serves as an initial point of contact for new clients, providing a professional and welcoming first impression
- Collects and enters basic company and employee demographic information into firm systems when requested
- Supports team members by performing data entry tasks, updating client records, compiling onboarding packets, and uploading client documents
- Assists in scheduling introductory calls or meetings as needed
Department Support
- Provides general administrative and operational support to the Payroll Implementation team
- Helps maintain departmental workflows, checklists, and tracking tools to ensure accuracy and efficiency
- Assists with coordinating internal communication regarding new client onboarding status and quote progress
- Maintains a working knowledge of firm services to direct client inquiries appropriately

Working Conditions
