St. Mary’s Parish is a vibrant Catholic congregation located in Historic Annapolis, Maryland serving over 5,000 families. St. Mary’s Parish includes St. Mary’s Church, St. John Neumann Mission Church, St. Mary’s Elementary School and St. Mary’s High School. The Database and Grants Administrator will be a member of a four-person Advancement team and reports directly to the Director of Development. Under the supervision of the Director, the Database and Grants Administrator will perform a variety of administrative and support tasks essential to the success of the Development office. The major responsibility of the position is the coordination of most aspects of the donor database relating to improved data integrity for development purposes and assisting the Director in carrying out the responsibilities of all fundraising activities and grant compliance.
Essential Functions
- Collaborate and assist in managing the Raiser’s Edge database containing all registered parishioners and school families.
- Communicate and interact with donors, parish staff, clergy, volunteers, and others in the Archdiocese regarding database records.
- Assist with preparation for direct response mailings, donor stewardship, and other fundraising campaigns as initiated by the Director.
- Utilize and engage AOB resources involved with appeals and certain Development Office activities.
- Support grant project management activities, including maintaining grant timelines, tracking deliverables, and coordinating action items among team members to ensure deadlines are met.
- Assist with grant compliance by monitoring expenditure tracking, gathering required documentation, and ensuring that reporting requirements and funder guidelines are followed throughout the grant period.
- Maintain organized grant files and records, including executed agreements, correspondence, progress reports, and supporting documentation required for audits and funder site visits.
- Coordinate data collection and program outcome tracking in support of grant reporting, working with program staff to compile statistics, activity logs, and other metrics required by funders.
- Perform other duties as assigned by the Director of Development and Stewardship.
Position Qualifications
- Bachelor’s degree.
- Experience with non-profit organizations is preferred.
- Strong desire to work in the development field; experience in fundraising, grant compliance, and management is a plus.
- Excellent interpersonal skills and a solid understanding of a donor-centered approach.
- Must have excellent computer literacy skills, including proficiency in the MS Office suite, especially Word and Excel.
- Must have mastery of basic math skills, as well as knowledge of database software and office equipment.
Pay Range: $25.00 - $30.00, Hourly
Base salary compensation will be determined based on factors such as geographic location, skills, education, experience for this role, and/or internal equity of our current employees as part of any final offer. Employees may be eligible for a discretionary bonus, which is determined upon company and individual performance.
