Description
Job Summary: Is an independent worker. Scans the complete paper medical record into the computerized medical record. Ensures that records are scanned in an accurate and timely manner. Participates in performance improvement activities. Is a back up to the Admissions and Dismissals. Answers the phone.
Duties and Responsibilities:
- Reviews chart thoroughly to ascertain all pages that need scanned.
- Refers chart to Director, if there is a question regarding whether or not to scan a document.
- Demonstrates and utilizes knowledge of computerized medical records and scanning equipment.
- Meets quality standards of having 100% of paper medical record Scanned appropriately.
- Acts as a resource person to hospital staff for scanning issues.
- Maintains a good working relationship within the department and other departments.
- Identify needed tasks to be completed and perform them so nonproductive time occurs so no more than one valid complaint occurs per quarter.
- Maintain confidential materials, it is available only to authorized individuals with no more than one valid complaint occurs per quarter.
- Respond to special request within reasonable length of time so no more than three valid complaints occur per quarter.
- Answers the telephone in a professional and courteous manner; takes messages; directs calls to appropriate staff members. Answers the telephone by the second ring.
- Maintains a good working relationship with the physicians.
- Performs other duties as assigned.
- Interacts professionally with all visitors and employees.
- Demonstrates the ability to be flexible and organizes during stressful situations.
- Manages and operates equipment safely and correctly.
- Accepts other duties as assigned.
Requirements
Professional Requirements:
- Adheres to dress code, appearance is neat and clean.
- Completes annual education requirements, i.e. mandatory marbled packets.
- Maintains and ensures patient confidentiality at all times.
- Reports to work on time and as scheduled, completes work within designated time; minimal absenteeism (no more than 5 occurrence within a review year.)
- Consistently completes and maintains assigned duties.
- Forwards all martially charts to HIM Director after they are scanned.
- Completes an incident report when information is scanned on the wrong account and forwards to the HIM Director.
- Attends annual Hospital Review and Department in-services as scheduled.
- Wears identification while on duty, uses computerized punch time system correctly.
- Works at maintaining a good rapport and a cooperative working relationship with physicians, departments and staff.
- Represents the organization in a positive and professional manner in the Community. Communicates the mission, vision, core values, ethics and goals of the hospital, as well as the mission statement of the department.
- Ensures compliance with policies and procedures regarding department operations, fires, safety and infection control.
- Complies with all organizational policies regarding ethical business practices.
Regulatory Requirements:
- High School graduate or equivalent.
- A minimum of six months experience in clerical accounting and clerical procedures.
- Knowledge of bookkeeping and accounting procedures.
- A minimum of one year experience in credit and/or collections for a healthcare facility.
