Job Description
POSITION SUMMARY
Tiverton seeks a proactive, resourceful Executive Assistant to join our growing team. This role provides high-touch support to the Managing Partner, helping him stay focused on core leadership priorities.
Responsibilities include calendar and meeting management, stakeholder communications, senior-team accountability and process management, and general administrative support.
PRIMARY RESPONSIBILITIES
- Efficiently manage the Managing Partner’s calendar by prioritizing appointments, scheduling meetings, and coordinating both professional and personal engagements to optimize productivity.
- Act as the primary point of contact for internal and external stakeholders, effectively triaging incoming requests to ensure prompt responses.
- Oversee logistics for meetings and events, including board of directors’ sessions, investor meetings, and various internal gatherings.
- Support the Managing Partner and team members as an accountability partner by distributing meeting materials and agendas in advance and ensuring follow-up tasks are assigned and completed in a timely manner.
- Administer the Investment Committee Meeting calendar, tracking agenda items, monitoring attendance, and arranging ad-hoc meetings at the request of the Managing Partner.
- Serve as a key resource for information regarding new platforms, software, and processes, including project management tools, AI solutions, and internal best practices.
- Prepare and submit business expense reports on behalf of the Managing Partner.
- Provide back-up support for reception and office administration duties as required.
- Coordinate intricate travel arrangements—including flights, accommodations, ground transportation, and comprehensive itineraries—while adeptly handling last-minute changes.
- Lead or assist with special projects and initiatives as assigned, ensuring timely execution and alignment with organizational objectives.
- Consistently exercise sound judgment, uphold strict confidentiality, and manage sensitive information with the highest level of integrity.
Qualifications
- A Bachelor’s degree is required.
- A minimum of five years’ experience providing executive support directly to C-Level leaders is essential.
- Demonstrated initiative and a strong motivation to succeed in a fast-paced, rapidly evolving environment are expected.
- Proficiency in the Microsoft Office Suite (including Word, Excel, PowerPoint, Outlook, Teams, and CoPilot) is necessary.
- Aptitude for and interest in leveraging project management platforms, software, and AI tools are advantageous.
- Outstanding written and verbal communication skills are required.
- Exceptional organizational and time management capabilities are essential.
- Meticulous attention to detail and a high standard of accuracy in task completion are important.
- The ability to multitask and prioritize responsibilities effectively within a dynamic work setting is expected.
- Strong interpersonal skills with a consistently professional and approachable demeanor are essential.
- Capacity to manage confidential information with the utmost integrity and discretion is required.
