What’s the role?
We are looking for an Administrative Assistant to join our Engineering department and support the Head of Artificial Intelligence. In this role, you will confidently handle a wide range of administrative and executive support-related tasks. You are accustomed to maintaining effective lines of communication, keeping stakeholders fully informed of critical issues, and making quick decisions while thinking on your feet. You are reliable, dedicated, proactive, organized, independent, and highly detail-oriented. You are comfortable communicating and interacting at senior levels, both internally and externally, and understand the importance of discretion in all matters. This role requires on-site presence at our New York office four days per week, with one day available for remote work.
We’ll trust you to:
- Ensure the Head of Artificial Intelligence’s time is used as effectively as possible
- Arrange domestic and international travel with careful attention to logistics, including availability during travel as needed
- Support various projects and work directly with the team to accommodate administrative needs
- Track and submit business-related expenses via the Bloomberg expense management tool, including those related to external business travel and internal activities
- Plan and organize departmental events and speaking engagements
- Perform ad hoc reporting as needed
- Complete tasks, assignments, and projects in a timely manner
- Work independently, often with little direct supervision
- Exercise a professional demeanor and attitude, and uphold confidentiality with regard to the team, business, and employees
You’ll need to have:
- 5+ years of work experience as an administrative assistant
- Bachelor’s degree
- Proven knowledge of Microsoft Word, PowerPoint, and Excel (including formulas)
- Demonstrated ability to communicate effectively with both internal and external stakeholders
- Excellent organizational abilities and the ability to balance multiple projects in a fast-paced, dynamic work environment
- The ability to manage immediate and long-term priorities
- Strong attention to detail
- Proactive problem-solver
Salary Range = 85000 - 125000 USD Annually + Benefits + Bonus
The referenced salary range is based on the Company's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.
