Position Summary
The Construction Administrative Assistant provides dedicated administrative, documentation, and compliance support for construction projects funded or regulated through the
Texas General Land Office (GLO). This role ensures accurate project tracking, proper handling of state and federal documentation, and consistent coordination between construction teams, subcontractors, and GLO compliance groups.
Core construction admin expectations include supporting project managers, managing contracts, routing invoices, and maintaining project documentation.
The GLO administrative support component includes managing compliance documentation, assisting with state reporting systems, supporting front-line communication, and working under limited supervision with strong attention to detail.
Key Responsibilities
Construction Administration

Prepare, manage, and maintain project contracts, amendments, closeout documents, and RFIs/submittals.

Track construction schedules, subcontractor work, key deliverables, and project timelines.

Receive, organize, distribute, and file construction documents, permits, and applications; maintain updated project files and databases.

Process invoices, pay applications, lien waivers, insurance certificates, W‑9s, and vendor documentation to maintain compliance and payment flow.
- Coordinate meetings, prepare agendas, distribute documentation, and support project communication.

Enter and maintain project data using construction management software (e.g., Procore, SharePoint).

GLO-Focused Responsibilities
- Prepare, track, and submit documentation required for GLO‑funded construction projects, ensuring compliance with state guidelines and deadlines.

Support GLO reporting and documentation workflows, including entries in CAPPS, TINS, and other state compliance systems (aligned with GLO administrative roles).
- Maintain high‑accuracy project logs, financial support documents, and audit‑ready files for GLO oversight.
- Serve as a point of contact for GLO-related inquiries, assisting with documentation requests, compliance checks, and project status updates.

Support building security, visitor logs, and document handling processes as they relate to GLO site or project requirements (based on GLO administrative duties).
Compliance & Records Management
- Maintain detailed records for construction and GLO-required project documentation, ensuring accuracy and accessibility.
- Ensure compliance with GLO policies, state regulations, construction standards, and internal procedures.

Assist with procurement processes, receipt tracking, requisition entry, and invoice closeout for GLO-funded projects where applicable.
Qualifications
- High school diploma required; associate degree or higher preferred.
- Pass pre-employment drug screen and criminal background check
- 2+ years administrative experience; construction or government compliance experience preferred.

Strong proficiency with Microsoft Office; experience with construction management systems, SharePoint, and PDF document handling preferred.

Ability to work under limited supervision with initiative and independent judgment in a fast‑paced environment (mirroring GLO admin expectations).
- Excellent organization, communication, and time‑management skills.
- Ability to handle sensitive documents with confidentiality and accuracy.
- Willingness to work in a team environment and assist co–workers or supervisors with other duties as required
- Must possess a valid driver’s license with a good driving record
