PRIMARY RESPONSIBILITIES
- Oversee administrative procedures and processes for executive management.
- Prepare, review and answer correspondence.
- Organize and maintain file system, file correspondence and other records.
- Greet scheduled visitors and escort to appropriate area or person.
- Answer and screen manager's telephone calls.
- Coordinate and arrange meetings, order lunches, prepare agendas, reserve and prepare facilities, scribe if
- necessary.
- Arrange extensive travel arrangements; coordinating airline and auto rental reservations, and hotel accommodations.
- Schedules meetings and appointments and maintains calendar of events, keeping itinerary of commitments updated.
- Prepares, reviews and answer correspondence.
- Prepare presentation materials for internal and external meetings.
- Sets up meetings, video conferences, and conference calls on and off site as needed..
- Types and composes letters, memos, reports and presentation material using appropriate software.
- Uses extensive knowledge of the executives schedules, priorities and business practices to proactively respond to daily issues and requests as authorized.
- Manage projects when needed
- Make copies of correspondence or other printed materials.
- Order and maintain supplies and arrange for equipment maintenance.
- Act as a change role model continuously striving to improve.
- Perform other work-related tasks as assigned.
- Comply with all NOV Company and HSE policies and procedures.
- Manages a variety of projects to help ensure successful and timely completion.
EDUCATION & EXPERIENCE QUALIFICATIONS
- High School Diploma or GED, AA degree desired but not required.
- 4 – 7 years general administrative support assistant experience required; administrative/secretarial/facilities coordination experience supporting executive personnel preferably demonstrated support at the Sr. Vice President of Operations level.
- High School diploma or equivalent, associates preferred.
- Proficient knowledge with computer software to include, but not limited to: Microsoft Outlook, Microsoft PowerPoint, Excel, and Word.
- Strong commend of the English language.
- Strong problem-solving skills to identify and resolve problems in a timely manner.
- Must demonstrate a proven ability to coordinate, direct and maintain highly confidential work and materials.
- Excellent organizational and planning skills in order to prioritize and plan work activities efficiently.
- Must be able to take and follow written and oral instructions.
- Proven abilities in managing a number of tasks simultaneously
