Position Overview
The Warehouse Administrative Assistant supports daily warehouse operations by handling administrative tasks, document control, driver paperwork, and supply management. This role works closely with warehouse staff, dispatch teams, and management to ensure operational records are organized, expenses are properly tracked, and warehouse administrative processes run efficiently.
Key Responsibilities
1. Department Communication Support
- Assist with communication between departments including warehouse, dispatch, HR, and management.
- Help relay operational updates and internal notices when needed.
- Support coordination of internal meetings and scheduling.
2. Vendor Invoice & Expense Tracking
- Assist with collecting and organizing vendor invoices related to warehouse operations.
- Track basic operational expenses such as supplies, services, and warehouse purchases.
- Maintain records for expense documentation and submit to finance when required.
- Support warehouse management in basic cost tracking.
3. Warehouse Supplies & Purchasing Support
- Monitor inventory of warehouse supplies and office materials.
- Assist with ordering supplies when stock levels are low.
- Maintain records of supply usage and purchasing history.
- Support warehouse management with purchase requests when necessary.
4. Warehouse Document Control
- Organize and maintain warehouse operational documents including:
- Operational procedures
- Vendor contact information
- Warehouse compliance documents
- Equipment and asset records
- Ensure documents are properly stored and easy to access.
5. General Office & Warehouse Support
- Support general office administrative work in the warehouse.
- Assist with document preparation, filing, and record keeping.
- Help coordinate basic internal communication between departments.
- Assist management with other administrative tasks as needed.
Qualifications
- High school diploma or associate degree preferred.
- 1+ year of administrative or office experience (warehouse or logistics experience preferred).
- Basic proficiency in Microsoft Office (Excel, Word, Outlook).
- Strong organizational and documentation skills.
- Ability to work in a fast-paced warehouse environment.
Preferred Experience
- Logistics or warehouse administrative experience.
- Experience working with delivery or dispatch operations.
- Familiarity with warehouse or logistics systems.
