Join our team as a Vendor Maintenance Analyst! In this role you’ll lead all vendor maintenance activities and serve as the centralized subject matter expert. You’ll own vendor relationships across newly merged and existing businesses, collaborate cross-functionally with teams to build strong relationships, streamline processes, and support seamless communication between departments and vendors to drive operational excellence.
The ideal candidate will be based in our Home Office located in Calgary, Alberta.
What You’ll Do
- Act as the primary vendor management subject matter expert, providing centralized support and guidance to clinics, Accounts Payable, and vendors
- Process vendor record updates and additions within the accounting system, ensuring data integrity and compliance with internal controls
- Maintain accurate vendor information and communicate updates to key stakeholders
- Communicate with vendors to obtain and provide required information in a timely manner
- Verify banking information provided by vendors to mitigate the risk of fraud and strengthen internal controls
- Collaborate with clinic staff to guide and educate them on the vendor request process
- Maintain compliance with the organization’s procurement policy
- Collaborate with Account Payable analysts to identify, triage, and rectify vendor invoice issues
- Support the Accounts Payable team with processing new vendors
- Develop the supplier management process in Coupa
- Perform other duties as assigned to support the team and organizational goals
What You Bring
- 5 years’ experience in Accounts Payable, Vendor Maintenance or Procurement
- Diploma or degree in Accounting, Finance, Business or equivalent
- Excellent communication and collaboration skills, with the ability to work effectively across teams
- Strong organizational, time management and multitasking skills
- Outstanding oral and written communication skills
- Ability to multi-task and thrive in a fast-paced environment
- Proficient in Excel, including pivot tables, lookups, and data analysis functions
- Prior experience training or coaching others is considered an asset
- A collaborative, adaptable, and proactive leader with a growth mindset, able to manage changing priorities effectively
- Healthcare industry experience, Coupa, NetSuite or Oracle ERP experience are considered an asset
- Bilingualism English/French is considered an asset
