Allowing increased time for each guest interaction and a more personal level of service
Prompt handling of all general enquiries and management of guest until host arrives.
Provides a warm, professional welcome, clear environmental, health, safety, and building related guidance.
Should be able to keep a complete control of the Reception and surrounding areas
Service provider to ensure awareness of Crisis response eg Bomb Threat, building evacuation etc and mandate regular training on such subjects.
Experience in client facing profiles and have an effective communication skills
FOE needs to handle all incoming and outgoing calls in professional and pleased tone that nurtures delightful experience to clients
Issue visitor badges/temporary card/service badge etc to the Clients/ Visitors and follow are guidelines as set by client
Ensure welcome PPT is updated & displayed for the client visits and all the equipment’s are in working condition
Check cleanliness of lobby, lifts and public areas, lights at Front desk
User satisfaction conduct of the front office attendant and upkeep of the front office area will be the key measure to assess the performance of the front office services provided by the Service Provider
Make receptionist services wherever recruited, available for site business hours as desired by client
Service Provider will ensure that the receptionist greets all visitors. Visitors will not be allowed beyond the reception areas without being escorted by their host.
Ensure the receptionists carrying out the service are smartly dressed at all times. Specify uniform formal dressing for Women.
Ensure that all visitors at BT’s Sites must be signed in and out, and be given a visitor’s badge for that day
Ensure that Front Office is manned 24/7 or during the operational hours as agreed with client. Service Provider will ensure that there is an immediate replacement available in case the Front Office resource resigns from the service or stops attending the work. FOE to cover shift during operational hours, security guard to cover during non-operational hour / night shift
Do a daily audit of badges on a daily basis to account for all visitors entering and leaving the building and any discrepancy to be reported to DM on daily basis
