PURPOSE
Support Security operations through administration, coordination, and quality control of security records, equipment, incident reporting, and communications systems. Ensure accurate documentation, vendor coordination, and compliance with internal policies, regulatory requirements, and property standards to promote a safe and secure environment.
ESSENTIAL DUTIES / RESPONSIBILITIES
- Equipment and Asset Administration: Maintain auditable records for department-issued equipment (e.g., radios, handcuffs), including issuance, returns, inventory counts, condition, and chain-of-custody; track equipment lifecycle; coordinate repairs and replacements; maintain custody logs.
- Radio Program Management: Administer Motorola radio inventory across the property; manage talk group assignments, radio IDs, spares, and exchanges; coordinate with radio vendors for purchasing, repairs, RMAs, and work orders; monitor turnaround times and escalate as needed.
- Trespass Administration: Maintain accurate records for trespass actions; ensure data integrity within CIP Reporting; verify accuracy of trespass notices issued to patrons; process corrections and issue replacements; ensure proper notifications are sent; track trespasses pending restitution and document follow-up actions.
- Parking Pass Administration: Maintain Team Member and contractor parking pass records; ensure timely issuance, updates, and deactivations; reconcile records with access systems.
- Incident Report Quality Assurance: Serve as Incident Report Administrator; review reports for completeness, accuracy, and adherence to standards; provide feedback and ensure timely corrections; coach users on best practices; produce metrics and trend reports for leadership.
- Records and Document Control: Maintain electronic filing for paid-in slips, trespass records, incident reports, and related documentation in accordance with retention policies and legal holds; ensure confidentiality, secure storage, and readiness for audits, subpoenas, or evidence requests.
- Administrative Support: Manage office supply inventory across security workspaces; coordinate purchases within budget and procurement policies; prepare routine dashboards and summaries (e.g., equipment status, radio uptime, trespass volumes, IR QA metrics).
- Compliance and Confidentiality: Adhere to confidentiality requirements and data privacy standards; support responses to legal or administrative actions, including providing documentation or testimony as required.
- Collaboration and Coverage: Coordinate with Shift Supervisors, Dispatch, and Investigations during peak activity, special events, or incidents; perform other duties as assigned to support safe and efficient operations.
Requirements
Education and Experience:
- Associate degree in business, criminal justice, public administration, or a related field preferred.
- A minimum two (2) years of administrative or operations support experience in a security, public safety, hospitality/casino or other regulatory environment.
- One (1) year experience with records management and quality control preferred.
Skills and Abilities:
- Confidentiality, Compliance & Reporting Collaboration: Protect confidential information, follow retention/privacy/legal requirements, and produce metrics/dashboards while coordinating with Dispatch, Shift Supervisors, and Investigations.
- Records Management & Audit Readiness: Maintain accurate, complete, audit-ready security records (equipment, incident reports, trespass files, parking pass documentation).
- Incident Report QA & Coaching: Ensure reports are complete/compliant and provide clear feedback to improve report quality.
- Documentation Review & Quality Control: Review, correct, organize, and standardize documentation to meet department requirements.
- Equipment Inventory & Chain-of-Custody: Track issuance/returns, condition/lifecycle, custody logs, and resolve discrepancies.
- Trespass Records Administration: Verify notices, maintain data integrity, process corrections/replacements, and document follow-up actions.
- Radio Program Administration: Manage radio inventory, assignments (IDs/talk groups/spares/exchanges), and ensure records stay current.
- Parking Pass Administration & Reconciliation: Issue, update, deactivate, and reconcile parking pass records.
