Position Overview:
FL Carriers is seeking a detail-oriented and highly organized Logistics Administrator to support our Logistics Coordination team. This role plays a key part in ensuring accurate documentation, data entry, reporting, and administrative processes that enable the efficient delivery of bulk materials throughout British Columbia and Alberta.
The ideal candidate is proactive, dependable, and thrives in a fast-paced transportation environment. Strong communication skills, accuracy, and the ability to manage multiple priorities are essential to success in this role.

Responsibilities:
• Provide administrative support to Logistics Coordinators to ensure efficient daily fleet operations.
• Enter and maintain accurate data in dispatch, tracking, and transportation management systems.
• Prepare, verify, and process bills of lading, shipping documents, delivery tickets, and related paperwork.
• Monitor and reconcile driver logs, timesheets, and trip documentation for accuracy and compliance.
• Assist with scheduling documentation and update routing information as directed by Coordinators.
• Maintain organized digital and physical filing systems for compliance and audit purposes.
• Support regulatory compliance documentation in accordance with applicable transportation regulations.
• Track maintenance records, preventative maintenance schedules, and related fleet documentation.
• Assist in preparing operational reports, KPI tracking, and daily/weekly summaries.
• Communicate with drivers, shop personnel, customer service representatives, and operations team to gather required documentation and resolve administrative discrepancies.
• Respond to general inquiries regarding documentation, invoicing support, and delivery confirmations.
• Support safety documentation processes and assist with record keeping related to safety meetings and compliance initiatives
• Identify process improvement opportunities to enhance administrative efficiency.
• Communicate with Shop personnel regarding repairs and preventative maintenance schedules.
• Use tracking and dispatch software to maximize cost efficiency while maintain a high level of customer service.
• Relay challenges with drivers, customers, and other stakeholders to the Director of Operations as required.
• Champions the safety culture at FL Carriers by participating in safety meetings, following and communicating safe work procedures, etc.
• Other duties as assigned.
Qualifications:
• Previous experience in an administrative role within transportation, logistics, or fleet operations is considered an asset.
• Strong data entry skills with a high level of accuracy and attention to detail.
• Proficiency with Microsoft Office (Excel, Word, Outlook); experience with dispatch or transportation management software is an asset.
• Familiarity with transportation documentation and regulatory requirements is preferred.
• Strong organizational and time management skills with the ability to prioritize effectively.
• Excellent written and verbal communication skills.
• College diploma or post-secondary education in Business Administration, Logistics, or a related field is preferred.

Hours of Work:
• The hours for this position are typically 8am - 5pm. However, this schedule may will vary based on the needs of the business.
• After hours calls, overtime, evenings, and weekends are required from time to time.
