The Front Office Assistant will provide administrative support to community homeowners, residents, members of the Board of Directors, Committee members and fellow association co-workers.
Fluency in English and Spanish is required.
Daily responsibilities:
- Monitor front office.
- Meet and greet homeowners, visitors, vendors and contractors.
- Research and respond to inquires via in-person, over the phone or by email.
- Create, mail and email correspondence to homeowners, board of directors and committee members.
- Data enter homeowner information in the database and update as needed.
- Organize and file documents.
- Walk and inspect the property to ensure HOA rules, regulations, and guidelines are met.
- Send out HOA Code violation letters to homeowners.
- Follow up with homeowners to ensure the HOA Code violation was corrected.
- Assist homeowners and Board of Directors with architectural review process, forms and paperwork.
- Other duties as requested.
Qualifications
- 2+ years of experience as an administrative assistant in an office setting.
- Administrative experience from the HOA, leasing, apartment, hotel, hospitality industries are desired.
- Fluent in English and Spanish is required.
- Excellent communication skills, written and spoken, are required.
- Friendly, outgoing, and team oriented.
- Customer service driven, career minded, and self-managed.
- Proactive in work habits, takes ownership and initiative of responsibilities.
