Part time Receptionist position. Practice specialty:
Ophthalmology and Cosmetic Medicine. Hours of operation:
Monday 10:00-2:00; Tuesday through Friday 9:30
through 5:30.
Job Description:
As the receptionist for the practice, your job is to be
the primary interaction with all the patients and family. The first face they
see when they enter the practice will be yours! Your voice will also be the
first that they will hear on the phone. You will also take messages, handle
email, texts and voice mails. finally, you will be handling charts. If you
want to code, you can also do the coding. We have extremely nice patients in
our practice, so your experience will be fun!
Job Duties:
Telephone
• Check message machine. Return overnight messages
• Answer telephone & triage calls
• Relay messages to Dr. Tantisira, as needed.
Emails and Texts
• Check at beginning of day, lunchtime and end of day. Return all messages
ASAP, at the latest by lunch time or at the end of the workday.
• Relay messages to MD as appropriate.
Mail
• Sort mail daily
o Hold on to patient referral letters from other doctors and patient payments
for deposits
o All other mail goes to Dr. Tantisira.
Appointments
• Confirm all patient appointments 2 days prior to appointment day. Document in
Akamai.
• Remind the “forgetful” patients again on the day of their appointments
• Schedule appointments/surgeries. For CEE’s, schedule 1 year in advance.
Cosmetic appointments require a deposit to hold time.
• Print a copy of the next day schedule for Dr. Tantisira. Fold in half to show
only date, and place on counter. On Mondays, scan and email her a copy.
Reminder Cards
• Have patients fill out the address in their own handwriting. Fill in the
appointment date/time.
• File the card in the correct month in the box.
• Mail reminder cards 2-3 weeks before patient appointment.
Recall List
• Help enter patients into recall list. List name on Akamai and reason to call.
• Call recall list at the end or beginning of each month. Review patient’s
chart to know why you are calling the patient. You may need to consult the
doctor to be sure of the best approach for each patient.
Insurance
• Verify insurance eligibility by calling or checking online for vision
coverage for any patient who has a CEE scheduled.
• For HMSA, log into HHIN.
• Type out patient eligibility, print it out and file in patient’s chart under
insurance.
• Complete preauthorization when needed.
Incoming Patients
• Arrive patient in Akamai
o Verify and update demographics/insurance at each visit
o Collect co-pays
Allscripts
• Enter patient data into Allscripts.
• Prescribe medications when needed.
• Obtain preauthorization or tier exceptions for medications when needed
