We are seeking a detail-oriented and proactive Immigration Case Associate to join our team. This role is critical to the operational success of our firm, requiring a blend of technical legal knowledge, administrative precision, and exceptional client service. The successful candidate will support our RCIC by managing the full lifecycle of immigration applications and ensuring absolute compliance with Canadian legislation.
Application Execution: Prepare, review, and submit high-quality applications across various streams (Express Entry, PNP, Family Class, Study/Work Permits, and LMIA).
Document Auditing: Ensure all client-provided information is accurate and verified, performing rigorous quality checks on all legal documents before submission.
Regulatory Monitoring: Maintain a current, high-level understanding of the Immigration and Refugee Protection Act (IRPA) and related regulations to ensure all filings meet evolving government standards.
Deadline Oversight: Manage strict timelines for the completion of all visa and immigration documents to ensure submissions are received within government-mandated windows.
Intake & Vetting: Conduct initial client interviews to gather essential data, assess preliminary suitability, and prepare summaries for the RCIC.
Government Liaison: Coordinate directly with Immigration, Refugees and Citizenship Canada (IRCC) to resolve queries and track application progress.
Consultation Management: Vet prospective leads and manage the RCIC’s calendar by booking qualified client appointments.
Ongoing Support: Build and maintain strong, professional working relationships with clients, providing them with clear updates and guidance throughout their journey.
Agreement Management: Draft professional retainer agreements, oversee the signing process, and maintain meticulous, audit-ready client records.
Financial Coordination: Prepare accurate fee quotes, invoices, and any necessary financial documentation for clients, colleagues, or relevant authorities.
Process Improvement: Oversee daily immigration operations to identify efficiencies, ensuring the service process runs smoothly from intake to final decision.
Industry Knowledge: Prior experience with Canadian immigration is required. You must have a foundational understanding of different visa types and documentation categories.
Technical Proficiency: Strong IT skills are essential. You must be highly proficient in MS Word , MS Excel , and comfortable learning specialized case management and CRM software.
Communication Excellence: Exceptional written and oral English skills are mandatory for drafting legal explanations and communicating with clients.
Detail Orientation: The ability to spot inconsistencies in complex documentation and maintain high standards under pressure.
