The Administrative Coordinator of the Center for Innovation in Media is part of the leadership team for both the Center and WMOT and collaborates with the executive director on strategic plans, management of the Center, WMOT, WMOT and CIM fundraising operations, all budgets for both the CIM and WMOT and manages all underwriting sales invoices, affidavits and payments.
The Administrative Coordinator oversees a portion of the operations in both departments including access to and maintenance of the Center for Innovation in Media (including WMOT studios), collaborates on all Center and WMOT budgets, manages projects and accounts of the Center and WMOT.
The manager Administrative Coordinator acts as liaison between the director of the Center and all faculty, student and staff.
The Administrative Coordinator is responsible for preparing contracts for WMOT/CIM, processing all WMOT and CIM payments, process all invoices for payment from contracted employees of WMOT and student media. Invoice underwriting clients of WMOT Public Radio, provide affidavits, receive payment and manage financial statements.
Prepare requisitions, contracts, and bids through MT$ource. In collaboration with the WMOT development director the coordinator will help compile and maintain WMOT membership materials such as: WMOT donor database, donor mailings and acceptance of donations and pledges; prepare and submit deposits/donor information to Development office.
Collaborates with executive director and membership team for fall and spring membership drives. Coordinates, trains, and supervises volunteers and students to answer phones, read scripts, and collect donations.
Collaborates on management of all mailing lists and membership databases, email invitations and newsletters.
Maintain and reconcile P-card purchases, invoices, advertising accounting, receipts, purchase orders, and travel authorizations and claims for all department staff.
Reconcil budget accounts for CIM, Sidelines, WMOT, and WMTS.
Maintains office staff by recruiting, selecting, orienting, and training employees/student employees. Prepare and submit all hiring/termination paperwork for employees of WMOT, Sidelines, and the CIM including preparation of PAF/PEF’s.
Hire, supervise, and train student workers for CIM to perform general clerical tasks; hire and train WMOT student workers for events and promotions.
Select, train and manage WMOT volunteers in coordination with the membership manager for fund drives, events and other tasks.
Review time-sheets from CIM and WMOT employees, Sidelines staff and Temp Hourly workers for Director’s approval.
Serves as the first point of contact for prospective students and university guests for department.
Assist the CIM Director/WMOT Executive Director in organizing and implementing fundraising events such as Wired In, Roots on the Rivers, 895 Fest and AmericanaFest. Work with vendors on equipment, staffing, etc. to implement WMOT events.
Bachelor's degree required. A High School diploma or High School Equivalency (HSE) and six (6) years of progressively responsible accounting, accounts payable, clerical, or secretarial experience may be considered in lieu of the bachelor's degree requirement.
Two (2) years of progressively responsible experience in accounting, accounts payable, clerical, and supervisory experience.
Bachelor's degree in Business, Music Business, Accounting, Mass Communication or related field preferred. Familiarity with non-commercial/public radio, newspaper journalism/business practices, TV broadcasting/business practices, and music industry preferred. Accounting and office experience in higher education preferred.
