Assist with the coordination of projects from LOI through to completion and aftercare.
Maintain accurate project timelines, milestones, statuses, and notes in HubSpot or relevant systems.
Track actions, follow-ups, and outstanding tasks to ensure projects progress smoothly.
Support snagging and close-out processes by logging issues and tracking resolutions.
Prepare and issue order confirmations, meeting invites, and project documentation as directed by the Operations Manager.
Book surveys, installers, subcontractors, and internal resources as required.
Assist with logistics planning, including scheduling, packing lists, and warehouse coordination.
Gather, record, and share site information clearly with all relevant stakeholders.
Prepare, organise, and file project documentation including Design Sign-Offs, POs, RAMS, and compliance records.
Ensure RAMS and required documentation are issued and approved prior to site works commencing.
Maintain records for installer credentials (e.g. PPE, DBS, CSCS) and flag gaps or expiries to the Operations Manager.
Support customer, supplier, and internal communications by drafting updates, confirmations, and status reports, acting as a first point of contact for routine queries.
Support reporting and invoicing forecasts by keeping project progress, milestones, and operational data accurate and up to date.
Requirements
Min 3 year proven experience in a similar role.
Highly organised with strong attention to detail.
Comfortable managing multiple tasks and priorities at once.
Clear, professional communicator in writing and verbally.
Process-driven and confident working within defined systems.
Proactive, reliable, and comfortable following up with others.
Strong administrative or coordination experience in a project-based environment.
Nice to Have: Experience in construction, manufacturing, or installation-led businesses.
Familiarity with HubSpot or similar CRM / project management systems.
Understanding of basic project delivery workflows.
Exposure to health & safety documentation (e.g. RAMS
