Processes and reviews bi-weekly multi-state payroll using ADP Workforce Now (or similar system).
Reviews and approves payroll work prepared by Payroll Services Analyst(s), ensuring accuracy and compliance.
Investigates and resolves complex payroll discrepancies and escalated employee inquiries.
Ensures compliance with federal, state, and local payroll laws and internal policies.
Audits and provides ongoing support for our expense and reimbursement policy.
Performs payroll system maintenance and supports process improvements.
Partners with HR to ensure accurate employee data, perform reconciliations, and support month-end close processes related to FMLA, leaves of absence (LOA), and related reporting requirements.
Assists the Payroll Manager to support payroll tax setup, quarterly and annual filings, audits, and year-end reporting processes, including 941 audits, W-2 preparation and reconciliation, year-end compliance activities, and 401(k) annual audit support.
Partners with Finance to conduct ongoing maintenance and regular audits of the general ledger (GL), proactively identifying, investigating, and resolving discrepancies to ensure accuracy and alignment with finance objectives.
Collects, analyzes, and prepares data for audits and regulatory reporting, including multi-worksite reporting, state-specific Family and Medical Leave (FML) reporting, and additional federal and state reporting requirements to ensure full compliance with applicable laws.
Serves as a subject matter expert and escalation point for payroll-related issues.
Communicates complex payroll, compliance, and financial information clearly and professionally to executive leadership in both written and verbal formats, including drafting and distributing professional company-wide email communications.
Requirements
Bachelor’s degree in Accounting, Finance, or related field; may consider high school diploma/GED with equivalent experience in lieu of a degree.
Minimum of five (5) years of payroll experience, including multi-state payroll processing.
Proven ability to review payroll work completed by others and independently run payroll.
Strong knowledge of payroll regulations and best practices.
Proficiency with ADP Workforce Now or comparable payroll systems.
Excellent attention to detail, analytical skills, and communication abilities.
High level of professionalism and confidentiality.
