About this role
Role Overview
Serve as the welcoming first point of contact for guests, calls, deliveries, and general inquiries
Manage meetings, calendars, and conference room scheduling to keep teams aligned and on track
Monitor inventory, place orders, and manage purchasing so the office runs smoothly without interruption
Attend meetings to capture notes, action items, and follow-ups
Enter and maintain vendor information in QuickBooks and internal systems with accuracy and consistency
Assist with onboarding logistics by setting up new hires in systems, coordinating access, and helping create a smooth first-day experience
Provide day-to-day administrative assistance across departments, keeping documentation, communication, and processes organized and up to date
Requirements
Prior experience in an administrative, office support, or coordination role
Working knowledge of Google Workspace (Gmail, Drive, Docs, Sheets)
Experience with QuickBooks is a plus
Familiarity with general office equipment (printers, scanners, copiers, etc.)
