Role Overview
- Oversee the full onboarding process—from offer acceptance through the new hire’s first day—while ensuring an exceptional candidate experience and cultivating strong partnerships with candidates and Talent Acquisition team members.
- Provide coordination and administrative support for Talent programs and systems.
- Prepare and generate offer letters in accordance with approved compensation, leveling, and internal policies.
- Coordinate offer approvals with recruiters, hiring managers, HR, and finance as needed.
- Send offers to candidates and track acceptance, declines, and negotiations.
- Manage pre-employment requirements, including background checks, reference checks, and employment eligibility verification.
- Communicate next steps clearly to candidates after offer acceptance.
- Initiate and track onboarding workflows in HRIS/onboarding systems.
- Collect and verify new hire documentation (I-9, tax forms, agreements, policy acknowledgments).
- Coordinate start dates and ensure alignment across recruiting, HR, Training, and hiring managers.
- Provide new hires with onboarding schedules, welcome materials, and first-day instructions.
- Ensure all onboarding tasks are completed prior to Day One.
- Serve as a point of contact for new hires on Day One to troubleshoot issues.
- Ensure a smooth transition from recruiting to onboarding and employee lifecycle ownership.
- Ensure all offers and onboarding processes comply with legal, regulatory, and company policies.
Requirements
- High School Diploma/GED
- 2 years of general office experience
- Proficient in Word, Excel, and Outlook
- Must be trustworthy and adhere to strict confidentiality procedures
- Strong problem-solving skills and a data-driven approach to recruitment
- Exceptional interpersonal, communication, and relationship-building skills, with the ability to engage effectively with a diverse range of stakeholders and candidates.
- Strong organizational and time-management abilities, with the capacity to manage multiple open positions and prioritize tasks in a fast-paced environment.
- Must have reliable transportation and the ability to travel to internal and external recruiting events
It would be helpful in this position for you to demonstrate the following capabilities and distinctions:
- Fluency in reading, writing, and speaking Japanese
- 1 year of experience in a recruiting environment
- 1 year of experience using an applicant tracking system
