Act as the primary point of contact for insurance adjusters.
Professionally negotiate scopes of work to ensure all necessary repairs are covered and approved quickly.
Assist Estimators in the creation and supplement process within Xactimate to ensure maximum project profitability and accurate line-item documentation.
Work on behalf of the homeowner to ensure the carrier provides a fair and comprehensive settlement.
Maintain real-time accuracy in Dash.
Ensure all notes, photos, documents, and dates are updated daily.
Collaborate with the accounting department using Sage to track job costs, vendor payments, and budget variances.
Ensure all contracts, change orders, and certificates of completion are signed and filed correctly.
Lead and drive the weekly reconstruction production meeting.
Proactively send regular job updates to clients.
Verify subcontractor availability and ensure work orders align with the approved Xactimate scope.
Take ownership of the collections process for your projects.
Ensure all invoices are received, approved, documented for proper job costing, and paid within the agreement period with the subcontractors.
Requirements
Minimum 2–4 years in the restoration or construction industry, specifically within a project coordination or management role.
Must have a solid understanding of Xactimate logic and line items.
Experience with Next Gear/Dash is highly preferred.
Familiarity with Sage for construction accounting is a significant plus.
Proven ability to discuss scopes and pricing with insurance adjusters confidently.
Must be a self-starter who can manage high-volume workflows without 'forced' program deadlines.
Exceptional verbal and written communication skills for both professional (adjuster) and personal (homeowner) interactions.
Restoration industry experience preferred.
