Independent handling of the department’s secretarial tasks for Culture, including document creation and management of follow-up/reminder processes.
Preparation, organization and minute-taking of meetings, including the compilation of meeting materials.
Support in the preparation and follow-up of broadcasts and podcasts according to editorial guidelines, including studio and production bookings and requests to take over contributions.
Communication with freelance editors and authors, maintenance of planning and editorial systems, and metadata management.
Processing of freelance fees, scheduling of interview partners and guest support, as well as organizing broadcasts and events.
General office organization and administration, including task and calendar management in Outlook, coordination and management of (central) mailboxes, file management, travel bookings and expense reporting according to guidelines.
Requirements
Completed commercial vocational training or comparable professional background.
Relevant professional experience in secretarial/assistant roles, ideally in the media sector.
Confident user of common MS Office applications and SAP.
Experience with editorial/content management systems desirable.
Strong interest in cultural topics and our programme offerings.
Excellent German language skills with a confident, stylistically secure manner of expression; foreign language skills desirable, preferably English.
Independent and structured working style, reliability and the ability to work in a solution
