Manage lawyers’ support workflow including access to delegated email (if assigned), calendar, files, deadlines and client-related activities
Anticipate workload requirements to maximize lawyers’ time efficiently
Coordinate internal meetings and meetings with clients
Handle lawyers’ travel arrangements and related logistics
Provide consistent backup support within the practice support team
Prepare, edit, format, print, scan and review correspondence, memoranda, large-transaction documents, reports, forms, labels and other materials
Manage files, including opening new files and maintaining large and complex files
Monitor emails, assess priorities, gather relevant information, take appropriate action and prepare responses
Work collaboratively with the lawyer and billing assistants to ensure invoices are reviewed and processed monthly
Coordinate and organize meetings, conferences and on-site and off-site events
Coordinate logistics for conferences, meetings and small internal and external events
Requirements
Legal assistant diploma, university certificate, or a college/university degree in office administration or information and communication technologies, or equivalent
Minimum 5 years of experience as a legal assistant or administrative assistant, preferably gained in a professional services environment
Intermediate to advanced proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)
Strong working knowledge of business and legal terminology
High attention to detail and superior word-processing, spelling, proofreading and editing skills
Ability to complete tasks quickly and accurately
Critical thinking skills necessary to plan, organize and proactively solve problems
Strong time management, organizational and multitasking skills
Provides a high level of service to external clients and internal colleagues
Ability to follow up on files and outstanding items with minimal supervision
High level of discretion and confidentiality and ability to handle highly sensitive information
Flexibility to work occasional overtime
Exceptional written and verbal communication and interpersonal skills
Bilingual in French and English (spoken and written)
