Provide administrative support to the CIO, including managing calendar, organizing meetings, and organizing travel
Coordinate Global IT Leadership Team (ITLT) routines, including agendas and documentation
Manage the annual calendar of Global IT meetings and events in alignment with overall Bachem key dates (such as annual planning, performance, and talent management cycles)
Organize and support the design and delivery of offsite meetings and other events for the ITLT and for the individual IT departments
Manage and optimize office space and desk allocation for the Global IT teams
Support the optimization and automation of department workflows using standard Microsoft Office tools
Support leadership and culture development initiatives for Global IT
Ensure clear and engaging communication content towards all relevant audiences across all channels under the guidance of the CIO and Head of CIO office
Manage internal communication for Global IT to strengthen alignment, transparency and belonging
Establish a communication plan, draft messages and announcements
Support communication and organizational change management to stakeholders across Bachem to contribute to positioning IT and digital as strategic asset and to transparently inform the organization of achievements, changes and issues
Align all IT departments on consistent branding and messaging
Manage the IT presence on Bachnet, coordinate across IT departments and ensure content is engaging and kept up-to-date
Drive the attractiveness of Bachem as workplace for technology talent through focused engagements within the Global IT team; support employer branding targeted at external talent
Requirements
Commercial, business, communications, or administrative qualification, or equivalent practical experience
Several years of demonstrated proficiency in executive assistance, team administration, internal communications, or similar roles
Excellent organizational and planning skills with strong attention to detail
Clear, concise writing skills and ability to translate complex topics into simple messages
High degree of professionalism, discretion, and reliability
Strong interpersonal skills and ability to work across cultures and time zones
Experience in internal & external communications and/or organizational change management are a plus
High proficiency in Microsoft Office 365 (Word, Excel, Teams, Powerpoint, …)
Strong affinity to digital tools
Familiarity with intranet / content management (MS SharePoint) is a plus
Proficiency in using MS PowerPlatform and MS Copilot to automate department workflows and tasks is a plus
Fluent in English and German (written and spoken)
French language skills are a plus.
