Prepare decision materials and manage the go/no-go process, including documentation of the decision
Lead bid projects & handle formal processing
End-to-end responsibility for handling RFPs until timely submission or professional withdrawal
Coordinate all stakeholders, ensure formal criteria, version control, scheduling, compliance, deadlines
Document processes, decisions and lessons learned
Close collaboration with Tech, Strategy and Design to consolidate subject-matter contributions
Translate complex content into clear, client-oriented narratives (German/English) – persuasive, structured, professional
Continuous improvement of processes, standard documentation and templates
Build and maintain a content/knowledge library to make knowledge reusable
Evaluate and implement AI tools & automation (e.g., LLM-based drafts, workflows, RFP tooling) to massively accelerate standard responses
Requirements
Industry or agency experience in web development
Experience in tender/RFP management / bid management or related roles (Account Management, Business Development, Sales/Marketing, Project Management, etc.)
Strong organizational skills and attention to detail – you remain calm and precise even with concurrent deadlines
Excellent German and good English, both written and spoken
Technical background (e.g., Web/IT, software, platforms, basic understanding of architecture)
Experience with HubSpot
High affinity for tools and enthusiasm for early-adopter topics (e.g., ChatGPT/Claude, Make.com, RFP software, automations)
