Role Overview
Perform normal office functions such as: Set up and maintenance of files
Screening phone calls and making proper referrals
Arranging meetings and conferences
Receiving, referring, or answering mail
Review draft and finished documents for appropriate grammatical usage
Answers questions relating to office operations and established policies and procedures
Gather, compile, and report on information relevant to supervisors assignment
Document key points, decisions, & lessons learned from all meetings
Manage contractor access program
Build wing bed-down calendar
Manage temporary duties (TDYs), schedules, conferences, and telecoms
Requires access to "my suite of applications". Examples include but are not limited to: My eval, My decs, My report, My fitness , My biz, AMS, MilPDS, BLSDM, DTS, and Leave Web
Coordinates with installation protocol office on any visit requests coming to the PIO
Requirements
High School Diploma or equivalent and 6 years additional education and/or related experience.
Minimum of five (5) years of U.S. Air Force administrative support experience
Proficiency with Defense Travel System and Joint Travel Regulations.
Position will manage TDY orders and/or authorizations for PIO employees
Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, Teams, and Zoom in a Windows environment
Flexibility to track, prioritize, and execute multiple simultaneous responsibilities in various parts of the organization
Outstanding organizational skills, attention to detail, and superb interpersonal, communication, and teamwork skills
Ability to exercise confidentiality and discretion
Ability to anticipate and troubleshoot problems and exhibit significant flexibility in accommodating the necessary work demands
Must be a U.S. Citizen
Must be able to obtain a security clearance
