Manage complex Outlook calendars requiring interaction with both internal and external executives, assistants, and vendors to coordinate a variety of meetings.
Coordinate timing and logistics of internal executive-level and company-wide meetings; assist with the preparation and distribution of meeting materials; order refreshments/lunch; take meeting notes; etc.
Draft reports, letters, memos and presentations.
Support payroll, including submitting Bereavement and Jury hours, and tracking salaried PTO.
Communicate with the VP's supporting to ensure they are prepared, organized, and ready for all meetings and events.
Coordinate complex travel arrangements, track expenses and prepare/submit reports.
Maintain communication boards and partner with leaders to obtain updated material.
Support the Culture Committee to budget and plan company events and extracurricular activities.
Be available for special projects and general administrative responsibilities as assigned.
Support other EAs when needed to balance workloads.
Other responsibilities as directed and necessary for the business.
Requirements
5+ years of executive, administrative experience
Bachelor's degree or an equivalent combination of education and experience.
Proficient in Office 365: TEAMS, Word, Excel, PowerPoint, and Outlook
Excellent proofreading/editing skills
Exceptional communication skills with the ability to communicate with internal and external customers at all levels
Demonstrated ability to take initiative and anticipate needs
Direct experience dealing with confidential matters
