Staff Health Administrative Assistant

Role Overview

• Process medical reimbursement claims for employees and dependents in line with ICRC policies and global standards
• Manage relationships with external health partners to ensure smooth coordination of medical benefits
• Provide administrative support to the Staff Health Team and assist with related medical reimbursement tasks as needed
• Ensure compliance with ICRC HR and financial procedures during the reimbursement process
• Verify that medical claims are consistent with submitted documents, excluding any claims that do not meet the requirements
• Maintain confidentiality of medical documents, ensuring proper storage and handling of all related materials
• Accurately record medical reimbursement data in the database and submit to HR/Finance after obtaining necessary approvals
• Inform employees of claim rejections and provide clear reasons, while ensuring that all medical documents are securely stored and physical copies are destroyed when appropriate

Requirements

• Ukrainian citizenship or permanent residence permit in Ukraine
• High school diploma or equivalent, with training in a relevant field, preferably in pharmacy, nursing, or medicine
• A minimum of two years' experience in an administrative role, including at least one year of experience in medical reimbursement within a similar organization or insurance company
• Familiarity with healthcare facilities and pharmaceutical products available in Ukraine
• Professional fluency in both written and spoken English and Ukrainian
• Strong computer skills, including proficiency in Microsoft Office
• Strict adherence to medical confidentiality
• Self-motivated with a strong commitment to teamwork and humanitarian principles
• Flexible, enthusiastic, and willing to learn
• Ability to work independently, as well as effectively under supervision
• Ability to organize and prioritize multiple tasks
• Ability to work within a diverse team and establish and maintain good working relations in a multi-ethnic, multi-cultural, and multi-disciplinary environment
