Reporting to the Director of Tourism and Pays d'Art et d'Histoire (PAH), the executive assistant is responsible, at approximately 0.7 FTE, for managing the tourist tax administration (régie taxe de séjour) and provides ongoing support to the director and staff of the Tourism and PAH department in organization, management, communication, information, monitoring, and file archiving.
At approximately 0.3 FTE, they handle telephone and front-desk reception for the ADS (land-use planning) service during office hours and provide administrative support to the Environment and Planning departments.
Primary administrator for tourist tax collection
Implementation of tourist tax collection procedures and support for declarants
Regulatory monitoring related to the tourist tax
Monitoring the implementation of registration numbers for all tourist rentals within the community area and assisting hosts in achieving compliance
Administrative follow-up of the regulation of furnished tourist rentals in coordination with the three municipalities concerned by the authorization procedure for change of use of residential premises
Data analysis and preparation of monitoring materials/reports for the tourist tax and related overnight stays
Administrative assistance for all department staff (telephone reception, meeting or event organization, drafting minutes and communications…)
Collaboration in implementing the communication plan for the Pays d'Art et d'Histoire
Administrative management of mediation activities and of the Cultural Heritage contribution fund within the Planning division
In-person and telephone reception for the ADS service office hours (2 half-days)
Secretarial support for the Planning and Environment departments, complementing the division assistant: scheduling meetings, drafting letters, event management (logistics, collecting orders, etc.)
Occasional cover for general reception: in-person and telephone reception, call screening, taking messages
Requirements
Knowledge of current regulations regarding the tourist tax and furnished tourist rentals is desirable
Understanding of local government operations
Experience with specialized software and office applications
