Manage and execute the end-to-end onboarding process for all new hires from offer acceptance through first 90 days
Develop, schedule, and facilitate engaging orientation sessions introducing company culture, policies, procedures, and benefits
Serve as the primary point of contact for new employees, providing guidance and support throughout onboarding
Coordinate onboarding timelines and ensure completion of all pre-employment and new hire requirements
Partner with hiring managers to ensure role readiness, onboarding plans, and smooth team integration
Track onboarding progress and follow up with new hires and managers to ensure successful assimilation
Continuously evaluate and improve onboarding processes to enhance efficiency and employee experience
Ensure all onboarding activities are completed accurately, timely, and in alignment with company standards
Oversee completion, verification, and storage of I-9 documentation in compliance with federal regulations
Administer E-Verify processes accurately and within required timelines
Initiate, monitor, and review background checks, ensuring timely completion and issue resolution
Ensure compliance with federal, state, and local employment laws and internal policies
Maintain organized, secure, and audit-ready employee records and documentation
Support internal and external audits related to onboarding and employment compliance
Stay current on regulatory changes and update processes as needed
Review and distribute offer letters, employment agreements, and new hire documentation
Maintain accurate and up-to-date employee records within HRIS systems
Perform data entry, audits, and regular system updates to ensure data integrity
Assist in developing and maintaining HR templates, forms, and standard operating procedures
Support reporting and documentation needs related to onboarding and HR operations
Utilize and manage HR systems such as Rippling and Smartsheet to track onboarding workflows and tasks
Collaborate with IT to ensure timely provisioning of equipment, system access, and credentials for new hires
Troubleshoot onboarding system issues and provide support to employees and managers
Identify opportunities to automate workflows and improve efficiency through HR technology
Support HRIS enhancements, integrations, and system updates
Coordinate welcome kits, onboarding materials, and first-day logistics to create a positive first impression
Facilitate office tours (virtual or in-person) and onboarding check-ins
Gather feedback from new hires to continuously improve the onboarding experience
Partner with leadership and HR to enhance employee engagement during the onboarding period
Requirements
Bachelor’s degree in Human Resources, Business, or a related field OR A recognized HR certification such as PHR, SPHR, SHRM-CP, or SHRM-SCP OR Equivalent professional recruiting experience
Minimum of 5 years of recruiting experience
Knowledge of onboarding processes, employee lifecycle, and best practices
Knowledge of federal, state, and local employment laws, including I-9 and E-Verify requirements
Knowledge of background check procedures and compliance standards
Knowledge of Human Resource Information Systems (HRIS) and data management practices
Knowledge of HR documentation, recordkeeping, and audit requirements
Knowledge of employee experience principles and onboarding engagement strategies
Strong organizational and time management skills with the ability to manage multiple onboarding workflows simultaneously
Attention to detail and accuracy in handling compliance documentation and employee records
Effective verbal and written communication skills for interacting with new hires and cross-functional teams
Proficiency in HR systems such as Rippling, Smartsheet, or similar platforms
Problem-solving and critical thinking skills to address onboarding and compliance issues
Data entry and reporting skills with a focus on maintaining data integrity
Ability to manage end-to-end onboarding processes independently and efficiently
Ability to maintain strict confidentiality and handle sensitive employee information
Ability to interpret and apply employment laws and compliance requirements
Ability to work in a fast-paced, deadline-driven environment with competing priorities
Ability to collaborate effectively with HR, IT, hiring managers, and leadership
Ability to identify process improvement opportunities and implement solutions
