Coordinates appointments, schedules services as ordered by providers and acts as a receptionist and a resource person for the office
Answers general questions related to the scheduling process and clinic services and completes follow-up scheduling as necessary
Answers and appropriately handles all incoming calls to the office
Enters scheduling related data into computer system (Epic) as indicated
Responds quickly and politely to telephone calls, takes accurate messages and relays calls and Epic messages as appropriate
Uses other patient and caregiver communication tools such as Artera texting platform and MyChart
Treats patients, families, physicians, visitors, and coworkers courteously
Maintains patient confidentiality
Assembles new patient charts, gathers charts when needed and files charts according to established procedure
Preps documents for HIM scanning
Maintains flow, monitoring patient location and wait time
Maintains clean, orderly, and safe work environment
Collects insurance co-payments when applicable, according to established procedure
Schedules patients for clinic visits, diagnostic testing, and follow-up visits through the use of the computerized scheduling system and its components
Enters demographic data into computer system and updates as needed
Advises parents/patients of the necessity of obtaining referral prior to their appointment
Requirements
High School graduate or Certificate of General Educational Development (GED) or High School Equivalency Diploma (HSED) required
less than 1 year of related experience required
Prior experience in health care organization preferred
Interpersonal skills necessary to gather and share information with physicians, patients, visitors, families, and team members in a courteous and confidential manner
Knowledgeable in Microsoft Office suite including Outlook, Word and Excel
Organizational skills necessary to maintain records, coordinate clinic appointments, and prioritize work independently
Ability to concentrate and pay close attention to detail using computer scheduling, entering orders, transcribing physician's orders, and arranging patient services
Ability to type at a minimum of 35 words per minute to complete form letters and data entry preferred
