Coordinate incoming and outgoing invoices and ensure timely processing and documentation
Follow up on open receivables and liaise with clients or account managers as needed
Ensure smooth approval and payment processes in collaboration with internal stakeholders
Support monthly closing activities by collecting and organizing financial data
Support the preparation and tracking of budgets, forecasts, and actuals across departments
Assist in regular financial reporting (e.g. monthly budget vs. actuals, cash flow reports, variance analyses)
Maintain and update internal trackers (e.g. cost control sheets, royalty flows, headcount budgets)
Monitor key financial KPIs and support budget owners with relevant insights
Serve as the first point of contact for internal teams regarding budget, invoice, or cost-related questions
Coordinate with external vendors (e.g. accountants, tax advisors, royalty service providers)
Ensure finance documents (invoices, contracts, tax records) are organized, accessible, and up-to-date
Help onboard and coordinate working students or freelancers involved in finance tasks
Support the documentation and improvement of internal finance processes (e.g. invoice approval flows, budget request procedures)
Requirements
Has an understanding of core finance processes (e.g. monthly close, budget tracking, controlling)
Has experience coordinating with external accounting firms and service providers (e.g. royalty platforms)
Is proficient in Excel / Google Sheets skills for data handling, reconciliations, and reporting
Has a basic understanding of German accounting standards, ideally with exposure to HGB
Is structured and works in a proactive way, taking ownership and following through without needing close supervision
Has strong communication skills in English & German (with any other European languages being a plus), especially when aligning with internal departments and external partners
DATEV knowledge (particularly the ability to extract reports, navigate the interface, and communicate effectively with tax advisors) (Nice to have)
Experience in financial data preparation for management reporting or investor updates (Nice to have)
Familiarity with project-based or creative industries (e.g. music, media, or entertainment) (Nice to have)
Basic experience with forecasting or financial modeling (Nice to have)
Comfort working in a small, scaling team — someone who’s hands-on, adaptable, and not afraid of a fast-paced environment (Nice to have)
