About this role
Role Overview
Supervise the monthly payroll processing, ensuring accuracy, deadlines and legal compliance
Validate payroll variables (overtime, allowances, absences, bonuses, expense allowances)
Ensure correct tax and social security classification
Coordinate monthly and annual payroll closings
Conduct regular internal payroll audits
Analyze and correct discrepancies, inconsistencies or non-conformities
Prepare information for internal, external or corporate audits
Ensure traceability and archiving of payroll documentation
Manage employment contracts, addenda, renewals, suspensions and terminations
Ensure correct application of Portuguese labor legislation
Maintain individual employee files up to date and compliant
Ensure documentation (work visas) for foreign employees
Supervise time and attendance control systems
Monitor absenteeism, vacation, leaves and work schedule regimes
Ensure correct application of overtime and compensatory time off
Ensure compliance with all reporting obligations to Social Security and the Tax Authority
Respond to official inquiries (e.g., Relatório Único)
Manage communications with the ACT (Portuguese Authority for Working Conditions), insurance providers and occupational health services
Support inspections and official information requests
Prepare operational reports for People Operations and Payroll
Ensure data quality and reliability in HR systems
Propose process improvements, automation and best practices
Support corporate initiatives and cross-functional People Operations projects
Assist with system updates to comply with legal changes
Supervise and support the People Operations/Payroll team
Requirements
Bachelor's degree in Human Resources Management, Management, Accounting, Law or a related field
Minimum of 5 years' experience in Payroll and Personnel Administration
Experience in payroll audits
Strong knowledge of labor and social security legislation
Excellent Excel skills and experience with HR/Payroll systems
Professional proficiency in English, both spoken and written
High degree of accuracy and attention to detail
Strong organizational skills and ability to manage priorities
Ability to work under tight deadlines
Strong sense of confidentiality and professional ethics
